Job Description

The Receiving Clerk is responsible for receiving, inspecting, documenting, and safely transferring incoming goods and supplies within an exclusive luxury destination.

The role ensures that all deliveries meet approved specifications and are accurately recorded before being distributed to the relevant departments. Strong attention to detail, organization, integrity, and coordination are essential.

Key Responsibilities

  • Receive deliveries from approved suppliers during designated receiving hours.
  • Verify delivered goods against purchase orders, delivery notes, invoices, and approved specifications.
  • Check quantities, quality, condition, packaging, expiry dates, batch numbers, and product descriptions where applicable.
  • Identify and report shortages, overages, damages, substitutions, expired items, or incorrect deliveries.
  • Record all received goods accurately in the inventory or stock-control system.
  • Ensure receiving documents are completed, signed, filed, and distributed appropriately.
  • Apply receiving procedures for Food and Beverage, Housekeeping, Recreation, Engineering, Security, Finance, and other departments.
  • Coordinate with the Storekeeper to transfer accepted goods to the correct storage areas.
  • Ensure temperature-sensitive, fragile, valuable, and hazardous items are handled and stored appropriately.
  • Maintain a clean, organized, secure, and professional receiving area.
  • Coordinate with Procurement, Finance, Stores, suppliers, and department representatives regarding delivery schedules and discrepancies.
  • Obtain the required approvals for rejected, damaged, short, or non-compliant deliveries.
  • Assist with inspecting and recording returned goods, rejected items, and supplier collections.
  • Maintain accurate records of deliveries, returns, discrepancies, damaged goods, and pending documentation.
  • Support stock counts, inventory checks, audits, and reconciliation activities.
  • Ensure delivery personnel follow applicable access, safety, hygiene, and security procedures.
  • Report suspicious activity, unauthorized deliveries, safety hazards, or security concerns promptly.
  • Maintain confidentiality regarding suppliers, purchases, stock levels, pricing, and organizational operations.
  • Perform other reasonable duties assigned by management.

Desired Skill & Expertise

  • Previous experience in receiving, stores, inventory control, warehousing, procurement support, or a similar role.
  • Experience within a luxury, premium, private, corporate, lifestyle, or high-end environment is preferred.
  • Knowledge of delivery verification, inventory procedures, documentation, and stock-control practices.
  • Basic computer skills and experience using inventory or purchasing systems.
  • Good numerical, organizational, and record-keeping abilities.
  • Ability to inspect goods carefully and identify discrepancies or damage.
  • Knowledge of safe handling, hygiene, manual lifting, and workplace-safety procedures.
  • Ability to work flexible hours, weekends, and public holidays when required.
  • A qualification in Stores, Logistics, Supply Chain, Business Administration, or a related field is an advantage.
